- Avoid Question and Answer. Where time is limited, get to the point.
- Avoid Hype. Repeatedly saying “we are the best” will only irritate the caller and waste listening time. Tell your callers why you are the best.
- Don’t assume that the caller has heard the previous message A caller can be put on hold at any point in the presentation. Sometimes it is better to replace references to “it”, “the service” or “this” etc with its full descriptive name.
- Read your message out loud. Just because it looks good on paper doesn’t mean that it will sound good.
- Remember you are speaking to your clients. Do not say something that you would not say directly to their face.
In general, your messages on hold should contain your organization name, the location of your business, the hours of your organization, and the web site address of your organization . And if you have extra phone numbers, after hour phone numbers, or fax numbers, these might be important to mention in the copy as well.

That’s why it is extremely important to find innovative methods of imparting this type of basic information. You can do this through the use of non offensive humor, ear-catching phrases, attention grabbing vocabulary, or through the use of talented voiceover actors, for example.
Other things to include in your On Hold Messages are product and services information and details – including new item updates, coming soon information, and related services. Also business history, awards and reputation, testimonials, quality programs, promotion details, upcoming events, holiday messages, and any details about changes in the way you run your business and from where you run your business.
